Healthcare IT in Mission Viejo

The typical Mission Viejo practice we work with is a multi-provider specialty group in a medical office building on or next to the Providence Mission Hospital campus, with plenty of older patients. That shapes the IT work in practical ways. These offices handle more Medicare billing and more coordination with skilled nursing and home health agencies, and the front desk spends real time helping patients into the portal. When the portal is slow or down, patients feel it and so does your front desk. The links to referral and care partners need the same scrutiny they'd get at any practice that works closely with a hospital.

Many practices here have been open for years, and their IT grew piece by piece along the way. We usually start with the loose ends:

  • care partners receiving patient records with no BAA on file, often because the relationship started informally
  • shared logins in a group where providers, billing and the front desk should each see different things
  • a portal that works well enough that the front desk isn’t spending the morning on patient tech support

Mission Viejo healthcare IT questions

Many of our patients struggle with the portal. Can you help with that?
Partly, and we'll be upfront about where our part ends. We keep the portal fast, reliable and properly connected to your EHR, and we make password resets and account recovery easy for your staff, which is where a lot of their portal time goes. We don't support patients directly, but taking out the technical friction cuts down how much of it lands on your front desk.
We send records to skilled nursing and home health agencies. What should we have in place?
A Business Associate Agreement with each one, and an encrypted way to send the records. It's a common gap. Records go out by fax, email or a shared portal, and nobody has checked whether a BAA was ever signed. We list every partner you exchange records with, move the exchange onto something secure, and keep a short record of how each one works.
We're a group with several providers. Should everyone have the same access?
No. Providers, billing and the front office need different things, and shared logins make it hard to know who did what. We give everyone their own login, with permissions that fit their role and access logging behind it. That also makes the yearly check of who can see what a quick job instead of a project.
What happens if our internet goes down during clinic hours?
With a cloud EHR, no internet means the practice stops. For clinical sites we add a second connection that takes over automatically, so sessions stay up and the schedule keeps moving, and you hear about it from our monitoring before you hear about it from the waiting room. We also keep a written offline procedure for the day both connections are down.
